Introducing Content Services

If you’re familiar with the concept of ECM (enterprise content management), you know why the methodologies are important. If not, here’s a summary: optimizing document management and information flow is the key to organizational efficiency and success. Over time, ECM methodologies evolved, and the original challenges have given way to new ones, which cultivated a new term: content services. The name signifies digitized business processes and content sharing becoming top drivers.

 

What are Content Services?

Content Services are business technology services that work together and share repositories. One example is a fully equipped product suite like Microsoft’s Office 365. Separate applications like JIRA, Dropbox, and Salesforce can be integrated to form a content service, but at a much higher cost and with more potential for issues caused by limited compatibility.

 

Content services provide value to an organization by enhancing information flow. A quality content service handles document management, and ensures that information is correctly captured, categorized, and indexed. This allows for more effective search, simplifies workflows, and eases compliance. Employees, vendors, and customers alike reach their goals more easily when a content service connects them together.

 

Why do Content Services Matter?

During ECM’s apex, the primary focus was secure file storage. Organizations were adopting their first content management solution, and their top priority was consolidating and storing content safely. The initial migration was perceived to be the difficult part, so optimizing the system was an afterthought for the next phase.

 

In practice, these organizations encountered bottlenecks and missed opportunities. The industry studied these issues, and found they stemmed from a lack of consideration for collaboration, workflows, and searchability. In the era of content services, the “who”, “what”, “when”, where, “why”, and “how” as they relate to the active use of content by individuals and teams, both inside and outside an organization, are foundationally important.

 

How do Content Services Relate to ECM or Digital Workspaces?

Content services are to ECM as iPhones are to flip phones. The same concept is reimagined around new technology and best practices to achieve improved results and increased ROI. For example, storing content in the Office 365 cloud is cheaper, safer, and allows easier sharing compared to server-based ECM implementations.

 

The make-or-break factor in the success of a digital workspace is its file storage solution. If employees can easily edit their content and share it with collaborators, they’ll be more productive. A digital workspace built around a content service provides the highest potential and the fewest bottlenecks.
